Start a New Trial—I Don't Have a Deal ID

Starting a new trial lets you provide a potential customer with free access to Umbrella for 30 days so that a customer can "test drive" Umbrella. At any time during this trial period, you can convert a trial to a subscription. At which point, the trial—now a subscription—is relisted on the Customer Management – Renewals page. For more information, see Convert a Trial to an Umbrella Subscription.

Note: A customer's 30 days free trial period does not start until the customer signs into their Umbrella dashboard for the first time.

At any time, including after a trial has expired, you can extend a trial. Trials can be extended only one time for 14 days. For converting to a paid subscription, contact your Cisco Umbrella sales representative.

When starting a new trial, we recommend that you first acquire a Deal ID from the Cisco Commerce Workspace (CCW). You do not need a Deal ID to start a trial; however, you do need a Deal ID to convert a trial to a subscription. Once you have a Deal ID, update the trial and add this Deal ID information. Without a Deal ID when starting a trial, you must manually search for customer information so that it can be added to the trial.

At the end of the trial period, if the customer has not bought a subscription, the customer's access to Umbrella reverts to the Premium DNS package.

Before starting a trial, we recommend that you confirm with your customer on the type of package to trial. And once you have started a trial of Umbrella, make sure that your customer is up and running and then monitor their use of Umbrella. When starting a new trial, you can make a request to access your customer's trial Umbrella dashboard.

Note: A trial starts as soon as you create it. This means that Umbrella calculates the 30 days trail period, and thus when a trial expires, based on when you create the trial. The trial period is not based on when the customer starts using Umbrella.

Remember that you need to acquire a Deal ID before you can convert a trial to a subscription.

  1. Navigate to Trial Management and click Start New Trial.

  1. Click I don't have a Deal ID and check the Continue without Deal ID check box, and then click Next.

  1. Enter the customer name in the Search field for which you are creating the trial and click Search.

  1. Optionally, enter the customer name in the Search field and click Advanced. Apply the available filters to narrow your search, and then click Search.
    Note: Once you entered the customer name, the Advanced option becomes enabled.

  1. From the returned list of company addresses, click the correct customer listing.
    Details for the Customer Information page updates automatically to display customer billing information.

Note: For creating a trial, at least one primary customer admin's first name, last name, and email address is required. For additional customer admins, only email addresses are required which can be entered by enabling Do you want to add more customer admin emails toggle button.

  1. On the updated Customer Information page, enter the First Name, the Last Name, and the Email address of the primary customer admin.
    To add additional customer admin email addresses, click the Do you want to add more customer admin emails toggle button and enter the email addresses by pressing Return / Enter or separating with a comma, semicolon, or a space.
    Next is disabled until you add at least one email address.
    You can optionally check the Request access to customer dashboard and / or Enable nurture campaign for customer check boxes, and then click Next.

This email address is where the welcome and nurture emails are sent. The welcome email includes important setup information for your trial customer.

If any customer information is incorrect or need updating, then click Reset to clear customer information and try again.
Note: You cannot manually enter customer billing information.

####Request access to customer dashboard
Check this check box to ask your customer for access to their trial Umbrella dashboard. Your customer receives an access request through their Umbrella dashboard. Allowing access gives the requester full administrator rights to the customer's dashboard. For more information, see Request Access to Umbrella Dashboard.

####Enable nurture campaign for customer
If this option is checked, and if a trial is created and the customer does not login to their Umbrella dashboard and create an identity, then the customer will start receiving "nurturing" email reminders for log in and create an identity. The first reminder email is sent after four days of trial creation.

  1. Complete deal information and click Next.
  • Package Selection—The package you select determines the minimum number of seats you must add. For information about packages, see our MSSP Partners page. Scroll down to the "Umbrella for MSSPs Offerings" section.
  • DNS Security Advantage—10 seat minimum
  • DNS Security Essentials—10 seat minimum
  • Platform—500 seat minimum
  • Insights—one seat minimum
  • Professional—one seat minimum
  • Cisco Umbrella for EDU—one seat minimum
  • SIG Essentials—one seat minimum
  • SIG Advantage—one seat minimum
  • Number of Seats—You must add at least the minimum number required for the selected Umbrella package.
  • CCW Deal Owner—Enter the email addressed of the employees in your organization (the Partner) who will manage the quotes / deal in CCW. You can add up to six emails, each separated by a comma, semicolon, or space.
  • Comments—Add comments if you wish to provide any additional information. This is only visible to Umbrella Partners Console admins through the Partner Console.

If you choose to give your primary distributor's visibility into this trial, then the third-party contact receives an email report every Monday documenting this trial's strength. If you have not done yet, then add contact information for this distributor at Partner Settings > Contacts. For more information, see Add Distributor Contact Information.

  1. On the Deal Information page, if you choose SIG Essentials from the Package Selection drop-down list, then the Package Add-on options are displayed.

  1. From the Package Add-on options, you can click any of the Remote Browser Isolation (RBI) radio button and check either or both the Cloud Delivered Firewall Layer 7 (CDFW L7) and Data Loss Prevention (DLP) check boxes.
    Note: Click Clear Selected Add-Ons to clear your selection.

    If any information is incorrect or requires updating, click Edit or Previous to return to that step and make changes as required.

Umbrella creates the trial and adds it to the Trial Management page. Umbrella sends the Umbrella customer an Umbrella welcome email that includes login information as well as a link to our Getting Started documentation. The initial 30 days trial period does not start until the customer login to their Umbrella dashboard for the first time.

  1. Once you have created a trial, check with your customer to confirm that a welcome email has been received and that your customer has successfully logged into the Umbrella dashboard and configured at least one identity.
    The Trial Management overview page, as well as the trial's details page, lists the trial's strength, which indicates its use by the trial customer as shown below:
  • or N/A—Customer has not logged into their Umbrella dashboard.
  • Low—Customer has logged into their Umbrella dashboard, but not created an identity.
  • Medium—Customer has logged into their Umbrella dashboard and created an identity, but not sent the traffic yet.
  • High—Customer has logged into their Umbrella dashboard, created an identity, and also sent the traffic.

Monitor your trials to make sure that your prospect has successfully started using Umbrella. As well as, keep tabs on when trials are set to expire. Check the expiring trials and either extend them or convert the trial to an Umbrella subscription.
Expired trials are listed on the Trial Management page. You must manually delete trials from the Trial Management page. This is true for expired trials and for trials converted to a subscription. See Delete a Trial.
